Coordinator - Traffic Services (contract)

Position Overview
Provides a range of administrative services and project coordination, assists in inputting, updating and monitoring the Division’s operation and capital projects, prepares capital budgets and plans, maintains project schedules, liaises with internal and external stakeholders, and manages/responds to citizen traffic inquiries.
Responsibilities
• Provides a range of administrative services- coordination and tracking of work flow and traffic studies, tracking council emails, establishes and maintaining project files, scheduling meetings, coordinating council reports schedule and reviews, and tracking invoices, time sheets and work schedules. Manages calendars, meeting schedules and takes minutes of meetings.
• Administers the financial component of operating and capital project assignments and resolves financial issues relating to operating and capital projects.
• Provides input into project work scope and schedules, establishes and maintains project schedules including prioritizing work phases, reviewing and analyzing budget plans and preparing project status updates as required.
• Coordinates and facilitates a wide range of projects related to the safe and efficient movement of pedestrians and vehicles. This includes the coordination and analysis of detailed background studies and studies submitted by consultants, design of the overall project strategy, and execution of project plans.
• Provides input into and assists with the preparation of operating budgets and the capital request submissions.
• Plans and assists in the development of new transportation strategies, new policies and design specifications, and engineering guidelines.
• Assists the planning and organizing of community consultations and engagement events, including attending project related community consultation sessions, as required.
• Researches and analyzes new technologies, economic, social and environment impacts on the transportation network.
• Liaises with internal and external stakeholders on traffic engineering projects, as assigned.
• Plans, reviews and prepares assigned traffic reports, Council/Committee reports, and presentations, as directed.
• Responds to traffic inquiries from stakeholders.
• Coordinates the creation and maintenance of computerized statistical databases focused on analysis, and traffic studies/data.
• Researches, prepares, coordinates, reviews and comments on contract documents.
• Acts as the City’s representative as required at meetings on traffic/transportation projects.
• Tracks project progress and procedures related to traffic management and daily operations.
Qualifications and Experience
• Bachelor’s degree in Civil/Transportation Engineering or Planning Programs, Business Administration, or suitable equivalent.
• Minimum of three (3) years’ experience in a project management environment or senior executive assistant role.
• Excellent working experience with Microsoft Office Suite including Word, Excel, Access and PowerPoint.
• Strategic and analytical thinker with strong project management and planning skills, coupled with time management abilities.
• Project Management Professional (PMP) would be an asset
• Excellent report writing, communication, analytical, organizational and problem solving skills.
• Excellent interpersonal skills and demonstrated effective communications.
• Possesses a valid “G” driver ‘s license, in good standing, with access to a reliable vehicle for corporate use.
• Ability to work outside normal business hours, as required.
